Conference Services Representative (10am to 7pm)

Job Summary:

Under the direction of the Conference Services
manager
, Conference Services Representative will ensure the efficient functioning of TIAA-CREF support lines; answer all incoming client phone calls and emails requesting assistance in scheduling meetings and
events
at all national TIAA-CREF facilities; responding daily to as many calls as possible in a professional and timely manner.
Duties & Responsibilities:
Answer all incoming calls to the TIAA-CREF support lines and those occasionally dialed directly into Representative's individual phone lines
Communicate effectively and professionally with clients via phone, email and in person; respond in a positive manner at all times; listen effectively and attentively to clients requests, comments and needs
Enter all information correctly and completely into the EMS system in order to produce accurate reporting and tracking
Take timely action on all incoming emails sent to the Conference Services Inbox; efficiently monitor and prioritize in-coming email requests; adhere to set procedures for follow through, organization and individual flagging of emails
Research available dates and space upon client requests and needs; perform various operations within reservations (i.e. revise meeting times, catering needs, attendee counts, etc.); be willing to research alternate solutions when clients needs may not be filled as requested
Answer client inquiries and direct as needed; provide assistance to clients who are not familiar with conference services policies and procedures; instruct and guide clients in the use of their personal EMS Virtual accounts, encourage client use of on-line booking
Provide requested information quickly and accurately to AV techs; research missing audio visual information and relaying that information in a timely manner
Respond promptly to last minute requests from clients requiring additional porter, catering and equipment; able to contact appropriate department for immediate response
Be familiar with campus map and with locations of all public and private meeting space in order to direct clients to appropriate meeting rooms within the conference center and throughout the campus; be familiar with meeting room capacities and amenities
Act productively during slow phone/email periods; proactively review information of current meetings scheduled in the system for the coming days/weeks; ensure all information has been entered correctly, preventing last minute emergencies
Perform special projects and tasks as assigned

Requirements:
High school diploma or equivalent required
Must be able to work 10 am to 7 pm
Good customer relations skills
Must possess strong work processing, organizational and interpersonal skills
computer
skills necessary including experience in Microsoft Office suite
Knowledge of EMS or similar client management system helpful
Familiar with office procedures
Ability to meet deadlines and work with limited supervision
Ability to handle multiple projects simultaneously
Ability to be discrete with sensitive and confidential information
